School trip preparation: a simple checklist for parents

A school trip message can hold more than one deadline. This checklist helps you turn it into clear next steps and agree who does what.

Use the calendar or notes you already have. Follow your school’s instructions for the trip; this is a way to organise them.

What to look for in a school trip message

Read the message once for the event and once for the jobs around it:

  • The trip date. When is the event?
  • The permission slip or form. What needs completing, and when must it be returned?
  • What to pack. Use the items the school actually asks for.
  • Other requests. Keep a separate note of anything mentioned in passing.

Keep beside your calendar

A simple checklist

  1. Find the trip date. Put the event in your calendar.
  2. Find the permission slip deadline. It can be earlier than the trip itself.
  3. Sign the slip before returning it. Leave time to complete it before the deadline.
  4. List what to pack. Choose a preparation time, for example the day before.
  5. Decide who handles each step. Include remembering and following through when you share a job.
  6. Keep uncertain dates visible. Note “next time” separately and check what it means instead of guessing.

If you’re handling this on your own, decide which steps you can simplify or ask someone to help with.

Permission slips have their own deadline

A trip in four days can still mean a form due in two. Write “return permission slip” as its own task, with its own date. Add “sign the slip” as the preparation needed before returning it.

Agree who will complete and return it if you share the responsibility. Keeping both steps beside the deadline makes the whole job visible.

Example: one message, three tasks

Example — imaginary message

Hello! Oliver’s class is going on a forest trip in four days. Return the permission slip within two days. Pack a snack and rain gear for the trip. Also remember to return the library book next time.

Here is how to separate the requests. The dates below are relative to the day the message arrives.

In 2 days

Return permission slip

Prepare: Sign the permission slip before returning it. Choose a time before the return deadline.

Trip in 4 days

Pack a snack and rain gear

Prepare: Pack the day before the trip. This preparation time is a suggestion, not another date given in the message.

Date needs checking

Return the library book

Uncertain: “Next time” is not a date. Keep the task without a date until you can clarify it.

Then agree who takes each task. The message does not assign responsibility; that choice belongs to your family.
